Problem
The CSU system has a vast number of policies (over 4,200 folders and 82,000 chunks) scattered across various sources, making it challenging for staff and faculty to locate and understand relevant policies. This fragmented understanding of policies negatively impacts productivity, as individuals may spend significant time (e.g., an entire month) trying to find and interpret the necessary information.
Technical Solution
The team developed a chatbot called “ChatBot AI” that can quickly answer CSU policy-related questions. The chatbot utilizes web scraping tools (including Selenium for login-protected documents), data chunking, and embeddings created with Amazon S3 and Hugging Face’s Sentence Transformer to provide relevant policy information. The chatbot is hosted on an EC2 instance and leverages a Lambda function to query the embedded data and return responses to the user interface.
