“Students seem to be unable to find answers in a website that’s convoluted with a lot of stuff that’s hard to navigate.”

Problem

Golden West College students, faculty, and community members struggle to find information on the college website, which requires 4-5 clicks to reach the right content, generating high volumes of phone calls and live chat inquiries that divert staff from core responsibilities. Prospective students, current students, and families need answers outside business hours but face fragmented content across multiple pages with inconsistent terminology, creating particular challenges for students with urgent questions during evenings and weekends when support staff are unavailable. The college serves a diverse community requiring multilingual support, but the current website structure makes information inaccessible to non-English speakers and those unfamiliar with institutional terminology. 

Technical Solution

The Sam’s Club team developed an AI-powered chatbot that provides Golden West College students with 24/7 support for navigating campus information, replacing an expensive third-party system that required manual content updates. The solution crawls the college website to extract and index current information into Amazon Bedrock Knowledge Bases (managed RAG), ensuring that answers are grounded in real, up-to-date Golden West College content rather than generated from the model’s general training data. When a student submits a question, AWS Lambda (serverless compute) first evaluates it for safety keywords and either returns instant hardcoded responses for critical topics or forwards the query to Amazon Bedrock (managed generative AI) for agentic retrieval, which breaks complex questions into sub-queries, performs two retrieval iterations with re-ranking, and pulls the top five relevant passages from the knowledge base to construct a cited, accurate answer. After the foundation model generates the response, escalation logic routes students who need human support to the appropriate department or connects them to live chat during business hours (Monday–Friday, 8 AM–5 PM) or sends email notifications after hours, with 15-department routing built into the workflow. The React frontend, hosted on AWS Amplify (full-stack hosting), presents answers with clickable source links that open in new tabs so students don’t lose their conversation, includes like and dislike feedback buttons to track response quality, and provides a seamless handoff to live chat when needed. The pay-per-use serverless architecture replaces the previous expensive subscription model, delivers 3–10 second responses instead of minutes on hold, supports multiple languages, and makes campus information accessible to students outside of staff hours, reducing repetitive support requests and letting staff focus on complex cases.
